General Responsibilities
Greets and directs visitors, maintains the front desk/lobby area, assists visitors with membership inquiries and applications, maintains membership files/records. May assist with other administrative or clerical support activities.
Essential Tasks
- Greet and welcome guests as soon as they arrive at the office. Notify appropriate staff of visitors.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, assist with main office security systems).
- Provide basic and accurate information in-person and via phone/email.
- Answer, screen, and forward incoming phone calls.
- Receive, sort, and distribute daily mail/deliveries.
- Manage internal and external package deliveries.
- Keep updated records of office expenses and costs.
- Assist Director/Program Director with scheduling, preparation of materials for committee meetings, presentation materials and other administrative duties as needed.
- Assist with conference room/call assignments and set ups as needed.
- Order food/beverages for meetings as requested.
- Perform other clerical receptionist duties such as photocopying, sorting, filing, and data entry, for Main Office staff as needed.
- Supervise and coordinate front desk coverage schedules.
- Maintain and troubleshoot postage meter, copiers, and printers.
- Act as main point of contact for all Club-Main Office communications, as needed, which will include incident/injury reporting to external providers.
- Manage the general Club email info account and distribute or respond to messages as appropriate.
- Manage and update general voicemail/message service for updates as needed. Receive and distribute messages accordingly.
- Ensure office common areas are tidy and presentable.
- Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions.
- Maintains contact as needed with external community groups, schools, members’ parents and others to assist in resolving problems.
Knowledge, Skills, and Qualifications
- High School Diploma or GED
- Experience in customer service experience (computers, software, phone, and data
management) required - Experience in youth development, education, or recreation (coaching)
- Ability to communicate effectively with families, staff, volunteers, and Club supporters—
in person, over the phone, and through email - Ability to use Microsoft Word and Excel; ability to maintain organized electronic files
- Ability to adjust to a fast pace of work, think on your feet, and use common sense
- Ability to work independently and in a team-oriented environment
- Ability to watch and listen to youth activities
- Ability to move easily across a variety of indoor and outdoor surfaces
- Ability to bend and lift up to 25 pounds
